The event organisers app allows you to easily scan in your attendees to your event, or individual sessions at the event using an Apple Iphone or Apple Ipod Touch. Its a much quicker easier solution than the old “ticking the attendees off a spreadsheet” method, and iVvy can easily report on who has attended and hasn’t attended quickly for reporting purposes.
To download and log into the iVvy App.
- Navigate to the ITunes Store and search for “iVvy Scanner” and download
- Open your app.
- You will be asked to add in your “account”. When you go to your ivvy url https://wired.ivvy.com/a/testcom/ the extension of your URL after /a/ is your account.
- Put in your username and password that you would normally use when you log into iVvy and log in.
Getting ready for the Scanner APP:
Please note: It is recommended that before your event starts, that you log into iVvy and set all of your attendees as attended to “No”. And when they attend they will be updated to yes leaving all of the people who didn’t attend as no. This gives you the opportunity to report on not attended people after the event.
To do this:
- Navigate to: Manage registrations > Attendees > Attendees
- Tick all attendees and select “Attended Event” to No.
Using The Scanner App:
- Once you have logged in you will be presented with a list of the active events that are in your account, with a list of draft and completed events below. Click on the event that you are scanning your attendees in for.
- You will see a screen where you can view your attendees, regos, sessions and check in attendees.
- Click on “check in attendees”
- Your camera will activate and you will see across the screen “Check In For” “Entire Event”. If you are scanning in for individual sessions, click on “Entire event” , and a screen will come up allowing you to select the session instead that you are scanning the attendee in for. Click done
- You will be taken back to the scanning screen.
- Scan your tickets accordingly.
- Make sure to sync your data from time to time, by clicking back to the previous screen and clicking the sync button in the top right hand on the screen. This logs into iVvy online and updates what you have scanned into the system. You can wait and do this at the end of the event but smaller batches which seems to be a quicker process, otherwise it can take a long time once you are back in the office after the event.
Manually Check In Attendees:
- Once you have logged in you will be presented with a list of the active events that are in your account, with a list of draft and completed events below. Click on the event that you are scanning your attendees in for.
- You will see a screen where you can view your attendees, regos, sessions and check in attendees.
- Click on “attendees”
- Find the Attendeee and tap on their name
- Tap Check In

This logs into iVvy online and updates what you have scanned into the system. You can wait and do this at the end of the event but smaller batches which seems to be a quicker process, otherwise it can take a long time once you are back in the office after the event.
If you are checking in to a session go to the Sessions tab instead and tap the session name and tap Attendees and follow steps 4-6.
