Learn how to create a menu that can be added to a booking or quote and can also appear on Marketplace or your Booking Engine
Creating a menu within iVvy Venues setup allows you to easily add the menu to your quote or booking.
Menus can be selected to also be advertised on the Marketplace or your Booking Engine.
Adding a New Menu
To create a new menu;
- Navigate to Setup > Food & Beverage > Food > Menus within the venue you wish to add the menu for.
- Click on “Add Menu”
- Complete the following:
- Name: Name of the menu
- Menu Type: Allocate a Menu Type for the menu such as Breakfast, Lunch, Plated Dinner (additional menu types can be added here)
Note: Menu types are global, and are used across all venues in your iVvy account (they can be personalised but will be seen by all venues).
Find out more about Creating Menu Types. - Enter a Minimum and Maximum amount of people (pax) that the menu will apply to.
- Active Status; if left blank it will be available all year round with no expiry.
- Cost Centre: If necessary change the cost centre from "food" to the cost centre of your choice.
- Select Price Type;
Per Person - A singular price that is multiplied by the number of people.
Flat Rate - One flat price that can not be multiplied.
Total of Menu Items - Ideal for platters and pricing of individual items when this will effect the final price.
- Click Save
Menus can be copied within the one venue or across multiple venues within the one iVvy account. Find out more about Copying Menus.

Edit - Allow to edit the existing menu.
Copy - Allow you to copy the menu into one or more of your venues in your account based on your access to the venues.
Delete - Allow you to delete an existing menu.
Change Status - Allow you to select between active or not active for the menu.
Save Sort Order - located on the left-hand side of each menu item this will enable you to click and drag to sort to an order of your choice. The save sort order button must be clicked for the order to be remembered.
Creating A Menu with a Per Person Price Type

Select Per Person price type.

Add a Price payable per person.

Add a Cost per person if required.

Select Yes or No if the price is negotiable.

Select if the menu will be Viewable on the Marketplace or Booking Engine.
If Yes is selected; Enter the Marketplace name that you wish to be shown on the venue Marketplace or Booking Engine. And select the Marketplace categories that the menu will apply to.
Restrict Menu Visibility To: if applicable the menu is only for certain groups. - Upload an image if required of the menu.

Enter a Small Description detailing the features of the Menu.
This will appear on your Billing Summary and within your Quotes and Contracts. There is also an option to have this appear in the food section of your BEO. -
Return to the top of the window and click on the "Items" tab. This will automatically save the menu to date.
Adding Menu Items and Menu Groups
- Click on "Add " and select “Add New Group”.
- Enter a Name for the Menu Item Group. Learn more about Menu Groups
- Click on "Add " and select “Add New Item” or "Add Existing Item"
- If "Add New" is selected, enter a Name for the Menu Item
- Enter a Description if required. This is not visible and is for internal purposes.
- Enter a Quantity if required.
- Enter a Sales Price – Enter a price at $0 as the price will be entered through the menu.
- Enter a Cost of sales if required.
- Enter a Minimum and Maximum amount of people (pax) that will apply to the menu item if applicable
- Select if the menu item "Is Optional" and/or if it "Can Be Removed".
For Example; If there is a set range of Menu Items that make the menu - A set menu or buffet where the choice is made by the venue; select Optional - No and Can Be Removed – Yes this will pre populate the menus items when the menu is selected however will allow you to take the menu item out later should the not require the item for dietary requirements, allergies, clients request etc.
If the client can choose from a range of menu items within the menu and you would also like your client to see all the items listed in order to make their choice, select Optional - Yes. When the time comes, you can add the items to the menu based on their selection.
When items are entered as Optional; enter the amount in $ that the price of the menu will increase by if the item is chosen. If there is no price increase enter $0. - Press Save.
- If "Add Existing" is selected this will allow you to add an item from another menu to this menu
Note: If you amend/change a menu item that you have added that already exists this will automatically update the item in the original menu should you make any changes to the name. - Repeat and enter ALL of the Menu Items that apply to the Menu and press "Save".
If you wish to change the order of your Menu Items within the Menu, click onto the item you wish to move and drag to the desired position. Find out more about Sorting Menu Items within a Menu.
Creating A Menu with a Flat Rate Price Type
- Select Flat Rate Price Type.
- Add a Price payable as a Flat Rate.
- Add a Flat Rate Cost if required.
- Select Yes or No if the price is negotiable.
- Select if the menu will be Viewable on the Marketplace or Booking Engine.
If Yes is selected; Enter the Marketplace name that you wish to be shown on the venue Marketplace or Booking Engine. And select the Marketplace categories that the menu will apply to.
Restrict Menu Visibility To: if applicable the menu is only for certain groups. - Upload an image if required of the menu.

Creating A Menu with a Total of Menu Items Price Type
(For example, for use for a Menu containing various Menu Options)
- Select Total of Menu Items.

- Select if the menu will be Viewable on the Marketplace or Booking Engine.
If Yes is selected; Enter the Marketplace name that you wish to be shown on the venue Marketplace or Booking Engine. And select the Marketplace categories that the menu will apply to.
