Learn how to implement and use the Catering Website Feature to get customers meal choices for their event.
The Catering Website is a tool that venues can use if they wish to allow their guests to make their own menu selections, instead of the venue/event organiser deciding for them. This feature has been designed specifically for a la carte menus.
This feature is currently being tested by a selection of clients before becoming available for all clients.
Venue Setup
This feature is enabled via a license setting. Please contact sales@ivvy.com or your Client Success Manager if you would like access to this feature.
Once enabled, you will be able to set the defaults for your Catering Website such as logo, banner image, colour, domain etc. You will be able to override some of the fields at a booking level should you wish to personalise your site to the event.
- Navigate to Setup > Food & Beverage > Catering Website
- Complete the following:
- Optional: Default Logo (190 x 39 pixels)- This logo will appear on the Catering Website should you not load a booking specific logo.
- Optional: Default Banner Image (500 x 250 pixels)- This banner image will appear on the Catering Website should you not load a booking specific banner image.
- Optional: Do you have your own domain- Should you wish to create a sub-domain so the URL for the catering website is not an iVvy URL, please setup a custom domain. More information here.
- Optional: Can send email- Whether you would like the system to send a confirmation email to the customer once their selections are submitted.
Note: This email cannot be edited and is system generated.
- Click Save
Note: Menus will need to be setup in Menu Groups for this feature to work.
Enabling the Catering Website on a Booking
- Create a quote or booking as normal
- When selecting a Booking Type (Simple or Detailed), select 'Allow Attendee Menu Selection' > Yes

If this is set to “Yes”, three additional tabs will be added either to the main group of tabs (simple bookings) or under the Sessions tab (detailed bookings). These tabs are:
- Catering Settings
- Catering Responses
- Catering Summary
Booking Setup
- Bookings > Booking > Edit Booking
- Click 'Sessions/Functions' tab (detailed) or 'Food & Beverage' tab (simple)
- Add your menu as normal > Click 'Items' tab of your Menu
- Click 'Add Optional Menu Items' > Add any optional menu items you wish to display on your Catering Website for customers to select
- Click 'Save'
Note: Only selected optional menu items inside menu groups will display on the Catering Website.
Sharing the Catering Website
- Bookings > Booking > Edit Booking
- Click 'Sessions/Functions' tab (detailed) or 'Food & Beverage' tab (simple)
- Click the 'Catering Settings' tab
- Complete the following:
- Close Responses: Flag the amount of days before the event that catering selections need to be submitted
- Logo: Update logo for the specific booking. If you do not add a logo the system will display the default logo loaded under Setup > Food & Beverage > Catering Website
- Banner Image: Update banner image for the specific booking. If you do not add a logo the system will display the default logo loaded under Setup > Food & Beverage > Catering Website
- Event Description: Provide an overview of the event which will display on the Catering Website
- Click 'Save'
- Once update click Copy and share the Catering Website link with your customer.
Tracking Responses
Once delegates will start to submit catering responses, they will be stored in the booking under the Session/Function tab.
Catering Responses Tab
This will display individual responses from delegates along with their Dietary Requirements.
Catering Summary Tab
This will provide a summary of all the selections along with totals for each item.
If you wish for these quantities and specific selections to be on the BEO, please update the BEO as per normal procedure.
