To use credit notes in the iVvy Venues system, the feature first needs to be turned on at the venue level. Please contact support@ivvy.com to have this feature enabled.
There are two options for using credit notes in iVvy.
Using Credit Notes to track removed revenue from a booking, after an invoice has been paid

Create an invoice for the client. In this example, the original invoice is for 20 delegates for a $100 per person package with accommodation

Pay off the invoice in full

Remove the disputed revenue from the booking. In this instance, the delegate numbers have changed to 15 people, leaving an overpayment of $500

Select the invoice, and press CREDIT, and select the amount to be credited to the invoice as well as a description

Select the credit note and press REFUND to process the outstanding amount

The final amount will now reflect the total amount of the booking, applying the credit to this booking for the reduced numbers.
Using Credit Notes to apply a credit to a future booking

Create an invoice for the client.

Pay off the invoice in full

Remove the disputed revenue from the booking.

Select the invoice, and press CREDIT, and select the amount to be credited to the invoice as well as a description. In this instance, the description has been set as "Credit note to be applied to the next event."

Refresh the statement page, and the amount outstanding will return to $0. This will then provide a credit note with a CN number and a status of "Not Allocated"

Create a new booking for the same company or contact, and add in the full revenue for this booking

Generate an invoice

Select the invoice and click PAY INVOICE > Apply Credit > Select the credit amount that is to be applied. Note: This will be the same amount that was credited in step 4.
- The Credit will be applied, and any outstanding amounts can be paid off as normal
